How to Navigate the Transactional Emails

This article provides an introduction to the structure of email templates within the Aklamio platform, detailing how global brand settings and individual campaign needs work together to deliver high-performing user communications.

The Aklamio email suite is a comprehensive toolset designed to empower you to deploy perfect email communications surrounding your incentive programs in minutes. By utilizing a tiered template structure, the platform ensures that your marketing efforts are both scalable, consistent and purpose made without adding significant operational complexity. Aklamio provides optimized email templates that you can just apply your brand styles to or extensively customize to achieve exactly your message.

Email template tiers

Aklamio’s email system is built upon a three-tier inheritance model. This structure is designed to ensure fast and easy deployment of incentive programs and solve the common enterprise challenge of maintaining brand integrity across thousands of disparate campaign touchpoints. The mechanism of inheritance ensures that updates to core brand elements, such as logos or primary colors, can propagate through the system while allowing for granular overrides at the campaign level.

The Functional Tiers of Communication

The hierarchy is composed of Default, Brand, and Campaign templates.

The Default Templates provide a battle-tested foundation that adheres to industry best practices for deliverability and user satisfaction. These are the starting point for every brand. Once a brand establishes its brand styles, these templates evolve into Brand Templates, which house the core identity of the client. It is significant to note that specific user journeys, such as those related to Payouts and Support & Account Management, are primarily customized at the brand level. This ensures that as users interact with their account—whether requesting a bank transfer or resetting a password—the experience remains stable and consistent regardless of which specific marketing campaign originally brought them to the platform.

Mechanism of Inheritance and Versioning

A critical piece of Aklamio's platform is campaign-specific versioning. Each campaign iteration maintains unique template IDs. This logic ensures that if a reward is generated from a campaign version that was active six months ago, the system can still retrieve and send the specific email template that was relevant at that time. This prevents the "messaging drift" often seen in older systems where a global update might break the context of historical rewards.

When a new program is setup, the system offers two distinct paths for email setup:

  • Duplicate from Existing Campaign: This allows teams to leverage the performance data of previous programs by cloning a successful messaging strategy.
  • Import Brand Default: This resets the campaign’s communications to the latest master versions defined in the account settings, ensuring compliance with the most recent brand guidelines.

Step-by-Step Guide to the Template Framework

  1. Access the foundational layer via the Default Templates.
    • These are provided by Aklamio and represent the optimized user journey, refined over years of running thousands of incentive programs.
  2. Configure your unique identity in the Brand Templates.
    • Navigate to the Settings section in your account dashboard.
    • Your Brand Templates begin from an imported copy of Aklamio's global templates and can be reset to the latest global templates at any point.
    • Customizations made here act as the foundation for every email sent within your brand's ecosystem.
    • Note that Payouts and Support & Account Management journeys are exclusively managed at this level to ensure account stability.
  3. Tailor specific initiatives using Campaign Templates.
    • Enter the Campaign Editor under the Programs section.
    • Here, you can customize journeys directly related to active programs, such as Referral and Cashback journeys.
  4. Manage the inheritance of settings.
    • On Brand tier, the default templates can be imported by using "Revert all emails to default"
    • On Campaign tier, when creating a new campaign or campaign version, the system will prompt you to either duplicate emails from a previous campaign or import the current brand defaults.

💡 Best Practices

  • Use the Brand Templates to lock in your core visual assets (logo, colors) so that every new campaign starts with a professional, pre-approved look.
  • Leverage the Campaign-Specific Versioning to run tests on your messaging across different campaign versions without affecting your global brand settings.

🛠️ Troubleshooting

  • Why are my campaign emails not updating after I changed the Brand settings?
    • Campaign templates are versioned to prevent accidental changes to live programs. To apply your new brand styles to an existing campaign, you must manually select "Revert all emails to brand default" within that campaign's email configuration.
