How to Manage Brand-Level Emails

This article walks you through the process of configuring your global brand email settings, which serve as the foundation for all customer communication across your incentive programs.

Brand-level editing is the first step in ensuring that every email reflects your company's identity. Under the Settings in the account section, brand emails can be accessed and all email journeys are represented and customizable. Changes made here are global, meaning they provide the starting point for every new campaign you create.

Step-by-Step Guide to Brand Email Configuration

  1. Navigate to the Settings menu in the Account section of your navigation.
  2. Click on the Emails section within your brand settings.
  3. Review the list of email journeys. Journeys are represented as expandable sections, including:
    • Referral Referrer Journey
    • Referral Lead Journey
    • Cashback Lead Journey
    • Other Journeys
    • Payouts
    • Support & Account Management
  4. Execute bulk actions on an entire journey:
    • Download PDF: Creates a document containing all emails in that specific journey for auditing purposes.
    • Revert all emails: Resets every template in the journey to the Aklamio defaults while keeping your brand styles applied.
  5. Edit individual templates within a journey table. For each email, you can see the name, a description of the trigger, the "Last Edited" date, a preview of the subject and the preview header.
  6. Click the Edit (Pencil) icon in the Actions column to open the email editor for a specific template.
  7. Customize individual template actions:
    • Download image: Get a high-resolution screenshot of the email.
    • Revert email: Reset only this specific template to the brand default.
    • Disable/enable email: If an email is disabled here, it will not be sent for any campaign unless specifically re-enabled at the campaign level.

💡 Best Practices

  • Consistency is Key: Set your global font styles and background colors in the Settings tab of the editor at the brand level. This ensures that even if you change the content of a campaign email, the overall aesthetic remains consistent.
  • Proactive Auditing: Regularly use the Download PDF feature to review all automated touchpoints in your user journey to ensure they are still aligned with your latest marketing guidelines.

🛠️ Troubleshooting

  • Why can't I disable a Payout email?
    • Some emails in the Payouts and Support journeys are critical for legal and operational transparency. If the disable toggle is grayed out, it is because that specific communication is mandatory for the user journey.
